This policy explains what data Sagacity Solutions (we) handles when you use SagacityBooks or this website, why, and your rights under the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.

What we collect

Account details: name, email, mobile number, role and sign-in records (time, IP address, device) for security.
Business data you enter or upload: invoices, vouchers, bank statements, GSTIN/PAN/TAN, party details, stock, documents and returns. You control this data; we process it on your behalf.
Payment details: plan, amount, invoice and payment reference. Card, UPI and bank credentials are handled by our payment gateway (Razorpay) and never reach or stay with us.
Enquiries: the name, email and mobile number you give in the website chat or a trial request.

How we use it

To provide the Service: keep your books, generate reports and returns, and file or fetch data with the GST and other government systems when you ask.
To bill you, send invoices, plan reminders, password links and service notices.
To secure the Service: two-step sign-in, fraud and abuse prevention, audit trails.
To answer your requests and improve the software. We do not sell your data and do not use it for advertising.

Who processes it for us

Only service providers needed to run the Service, bound to use the data for that purpose alone:

cloud hosting and encrypted off-site backup storage;
email delivery;
the payment gateway (Razorpay);
a GST Suvidha Provider, for the government GST, e-invoice and e-way bill interfaces you use;
AI model providers, for the in-app assistant - only the text and data needed to answer the request you make, not your whole books.

We disclose data to authorities only where the law requires it.

Cookies and storage

We use one essential cookie to keep you signed in, and your browser's storage for preferences such as the period you last viewed and offline billing drafts. We use no analytics, advertising or tracking cookies.

Security

Data is sent over encrypted connections (HTTPS), passwords are stored only as strong one-way hashes, sign-in has a second step, access within a firm is limited by role, and backups are encrypted before they leave our servers. No system is perfectly secure; if a breach affects your personal data we will inform you and the authorities as the law requires.

How long we keep it

Account data is kept while your account is active. Because accounting and GST records must be preserved by law, books are kept until 8 years after the last financial year with entries, then deleted, unless a legal hold (for example an ongoing assessment) requires longer. You can export your data at any time.

Your rights

You may ask to access, correct or erase your personal data, withdraw consent, nominate a person to act for you, and raise a grievance. Write to [email protected]. Erasure of books is subject to the legal retention period above.
